Payroll Information For Substitutes

Pay rates for substitutes are as follows:

Tier 1:

Days 1-25, substitutes working in a certified staff position will be paid at the base substitute rate of $90, $95, $100 based on the individual's education level and retiree status.

Tier 2:

Days 26-50, substitutes working in a certified staff position will be paid an additional $20 per day above the base substitute rate, or $105, $110 and $115.

Tier 3:

Beginning with day 51 through the remainder of the school year, substitutes working in a certified staff position will be paid an additional $40 per day above the base substitute rate, or $120, $125, or $130. 

**This tiered structure is only for certified staff positions. All classified staff positions will be paid at the traditional base rate listed in tier 1.

All other non-certified or specialty substitutes are paid an hourly rate based on the position classification salary schedule.

Substitutes are paid on a calendar month basis, in arrears.  Paychecks are issued on the 23rd of each month.  For example, days or hours worked by a substitute September 1st-30th will be paid out on October 23rd.  If the 23rd falls on a weekend or holiday, payroll is generally processed the preceding business day.  Direct deposit is mandatory for all staff and substitutes.  If you do not have a bank account, you will be issued a reusable debit card from the District.

Tax Information

All employees of the District are required to keep updated Federal and Missouri withholding tax forms on file in the Finance Office.  The Human Resources Department will provide these forms.



Substitute Timekeeping

The District follows all Fair Labor Standards Act (FLSA) requirements for its non-exempt employees and substitutes.  All substitutes must clock in/out in Time Management for payroll purposes.  Any adjustments or corrections to electronic timesheets must be submitted in writing to the building Secretary for that particular assignment.

Teacher, Secretary, Paraprofessional and Nurse Substitutes MUST be assigned to an Absence Management absence and have clocked in/out in Time Management in order for payroll to be calculated.  Substitutes CANNOT work in a District building unless they have received, and accepted, an email or phone confirmation of the Aesop assignment – no exceptions.

Hours of work for substitutes will vary by assignment.  Teacher, Secretary, Paraprofessional and Nurse Substitutes are allowed to work two half-day assignments, for two different employees, on the same day.

Generally, hours of work equate to the following for:

  • Teacher, Secretary and Nurse substitute assignments: 7½ hours for a full day or 3¾ hours for a half day

  • Paraprofessional substitute assignments: 7¼ hours for a full day or 3¾ hours for a half day

  • Other substitute assignments vary in hours

Affordable Care Act

The District is required to comply with the Affordable Care Act (ACA.)  To stay within the requirements of this Act, substitutes cannot work more than 30 hours (on average) per week or 130 hours per month (on average.)  This is managed through Aesop assignments.  Exceptions must be authorized by the District office prior to a substitute working beyond the aforementioned hours per week or month.  It is the responsibility of the Substitute to ensure authorization has been granted, which should be noted on the Absence Management assignment by the District office staff member.  Failure to comply with these weekly/monthly work limits may result in the inactivation of the substitute, removal of future assignments, or ‘blocked’ days as instructed by the District office.
