Substitute Assignments
The district uses a Frontline Technologies program called Aesop to assign substitute job assignments. Employees enter their absences in this online program to generate a ‘substitute required’ event, opening up an assignment opportunity for substitutes. Substitutes can accept assignments via phone or by logging into Aesop. A login ID and password will be issued by the District, and it is required to access the Aesop program. Substitutes must receive a confirmation via Aesop of their assignment before working in the District.
To be fair and equitable to all substitutes, the Farmington R-VII School District is not a participant in the Jobulator program offered by Frontline Technologies and, therefore, does not allow the use of this or other online substitute search programs to ‘push through’ assignment opportunities. Substitutes on our roster accept opportunities on a first come, first served basis by personally logging directly into Absence Management or accepting assignments via phone. Compliance with this section is strongly encouraged – failure to comply may result in removal from assignments, preferred lists, or the District’s substitute roster.
The District may also initiate vacancies for additional support for individuals, schools, or departments. Substitutes accept these assignments in the same manner mentioned above. Preference for District teaching assignments is given to Instructors, who are full-time permanent substitute employees for the District.
The Custodial/Maintenance, Food Service, and Transportation departments will contact substitutes individually for assignment opportunities. These substitutes are still required to clock in/out in Time Management as described below.
Substitutes must enter ‘not available’ days in Absence Management for any day, or partial day, for which they cannot work for the District. This is required to eliminate unnecessary calls by Absence Management and District staff when you are not available to work.
Your name will be removed from the substitute list if the Department of Human Resources receives requests from two or more buildings that your services are no longer desired due to performance standards. The District reserves the right not to follow this practice in instances when, in the judgment of the District, consideration for the health and safety of the employee, other employees and/or students, or the effective operation of the District would dictate prompt action requiring removal of the employee from his/her work situation. You may be removed from the list if you have not worked a minimum of three days per semester or for failure to report to work without advance notice.
Aesop Substitute Placement & Absence Management

Aesop is an automated substitute placement and absence management system. You will use this system to find available jobs. When you log into Aesop, the first page you will see is called “Web Alerts”. The web alerts are written by Christina Testa, Substitute Coordinator and is a way for her to communicate with you. After you read and close out the web alerts page you will see your homepage with your calendar.
Aesop training videos are available by clicking on the “Help” tab.
To view possible assignments, please log onto www.aesoponline.com and enter your user ID (which will be your phone number) and PIN. Arrangements for substitutes will be made well in advance whenever possible.
District teachers can choose preferred substitute teachers using Aesop; those preferred subs will be notified of any available jobs by email and online before any substitute teachers in the District. Once 50% of the lead time has passed, and if the job has not been taken, the other substitute teachers will be notified online and possibly by phone call.
Aesop will start calling substitute teachers within two days before a job begins. It will make calls from 5:30 a.m. to 3:30 p.m. and then again from 5:00 p.m. to 10:00 p.m. If you do not want to receive calls at specific times, you can change your personal settings through Aesop.
Do not become discouraged if at first you can’t find many jobs in advance. New substitute teachers can expect more last-minute jobs to be available to them. It can take a little time to get added to the preferred lists.
